How Payment Processing Works in Boardera
Summary
In all cases, there are three paths for a design team (customer) to submit their order from the manufacturer’s Boardera site.
'Send To Purchasing'
Prepaid Transaction (Credit Card)
NET Terms Passthrough
A 'Send To Purchasing' transaction allows the Designer to submit the payment request to their purchasing department for final payment. The Purchaser anonymously completes the order as either a Prepaid Transaction or via NET Terms Passthrough by following the secure link.
Any Prepaid transaction is processed through payment partner STRIPE
You must have a valid STRIPE account in order to allow customers to pay with credit cards through the Boardera platform.
In all cases, the manufacturer is responsible for noting prepaid or pending balances and invoicing the customer directly and accurately using current processes to do so at the time one typically would today. Communication tooling can be used within the Boardera platform to share the invoices (paid or otherwise) effectively.
Make sure you do not invoice your customer with an outstanding balance if they have provided payment to the system (use the Purchase Order to determine that).
Cancellations and Refunds
Customers placing orders using the platform are asked to approve a statement that they are taking accountability and there are no refunds before they commit to the purchase.
Stuff happens… If a customer needs to update requirements after the purchase, the system can facilitate that. Good communication using the Messages tool should lead to an updated agreement regarding requirements and if needed updated cost for the job can facilitated using the ‘Change Orders’ tool.
If an order needs to be cancelled, the Boardera Platform user should set the customer’s order to a 'Cancelled' state on the Orders page.
CREDIT CARD REFUNDS - Once cancelled you can process any refunds using STRIPE functionality.
NET Terms Refunds should be handled internally using your current process.
